About the Role
We're looking for someone to help launch our NYC office while supporting our Talent team with key administrative and recruiting tasks. You'll split your time between managing office operations and helping us find great talent as we continue to grow. This is a full-time hybrid role (20 hours per week in our Fidi NYC office, remainder remote) reporting to the VP of People Operations.
What You'll Do
Office Management
Manage daily office operations including vendor relationships, supplies, mail/packages, and facility maintenance
Serve as the main contact for building management, service providers, and office-related employee questions
Partner with IT and People Ops on office setup and safety protocols
Own security procedures and emergency plans
Maintain current office policies and procedures
Process office expense orders and submit invoices
Coordinate meetings, schedules, and occasional team events/catering for onsite staff
Help create a welcoming office environment that reflects our culture
Talent Team Support
Coordinate interviews and communicate with candidates throughout the hiring process
Proactively source candidates for repeat skill sets and high-volume roles
Manage job postings across job board platforms and in our ATS (Ashby)
Help maintain a positive candidate experience from first contact through onboarding
What We're Looking For
Required
3+ years of experience in office management, recruiting coordination, or similar role
Comfortable juggling multiple priorities and switching between office and recruiting tasks
Ability to handle confidential information with discretion
Strong organizational and project management skills
Excellent communication and interpersonal abilities
Proficiency with Google Workspace or Microsoft Office
Able to commute to our FiDi NYC office for in-office days
Flexibility to occasionally work outside standard hours for events
Ability to lift and move supplies up to 25 lbs for event setup
Nice to Have
Experience with applicant tracking systems (Ashby or Greenhouse experience a plus)
Background in office management and interest in growing a career in People Operations/Human Resources
Experience in a startup or growing company
Experience setting up a new office from scratch
Familiarity with sourcing tools like LinkedIn Recruiter
Compensation
The target base salary for this position is $70,000-$75,000 + target bonus and equity options.
