We are seeking a detail-oriented and reliable Bookkeeping Virtual Assistant to support our accounting and financial operations. The ideal candidate will handle daily bookkeeping tasks, manage account reconciliations, process payroll, and ensure accurate financial records. This role requires strong attention to detail, excellent organizational skills, and proficiency with accounting software.
Key Responsibilities:
- Operating Account Management
- Maintain and monitor the company’s day-to-day operating accounts, ensuring all transactions are recorded accurately.
- Trust Account Management
- Handle and reconcile trust accounts in compliance with relevant regulations and organizational policies.
- Bank Account Reconciliation
- Reconcile all bank accounts regularly to ensure accuracy in financial reporting and identify discrepancies.
- Credit Card Reconciliation
- Match credit card statements with internal records to ensure all expenses are properly documented and categorized.
- Fund Distributions
- Assist in preparing and processing distributions from relevant accounts, ensuring accuracy and timeliness.
- Accounts Payable
- Manage vendor invoices, schedule payments, and maintain accurate records of all accounts payable transactions.
- Payroll Processing
- Support payroll operations by preparing timesheets, ensuring accurate calculations, and coordinating disbursement with HR or external providers.
- 1099 Processing
- Prepare and issue 1099 forms in compliance with IRS regulations; maintain vendor records for year-end reporting.
- Collections
- Monitor outstanding receivables, send follow-ups, and coordinate collection efforts with clients or stakeholders as necessary.
