The Traffic Coordinator is the "Studio Engine," responsible for managing the daily flow of design projects and ensuring the team's workflow remains efficient. You own the Design Implementation Board and serve as the primary navigator for the design team’s daily workload. This role requires exceptional organizational skills, a proactive approach to project management, and a high level of technical proficiency in Asana. Strong communication skills are essential for dealing with stakeholders across our global marketing team.
Your knack for identifying roadblocks before they happen and your ability to maintain absolute data integrity across project boards will be key to your success. You act as the air traffic controller—owning the "Who" and the "When" so the creative team can focus on the "What" and the "How." You will work in close partnership with the Design Manager to evolve studio processes and maintain a high-functioning, stress-free creative pipeline.
What You'll Do:
The Process & Workflow Ownership
Once a ticket has been prioritized on the Design Roadmap Board, the Traffic Coordinator takes ownership of the following process:
- Board Transition: Add the prioritized ticket to the Design Implementation Board, where it arrives in the New Requests swim lane.
- Resource Allocation: Check team capacity and assign the ticket to an available designer.
- Detailed Scheduling: Add a final due date (including buffer time) to the request, set due dates for all subtasks, and assign the relevant stakeholders to each subtask.
- Activation: Move the ticket into the relevant swim lane (e.g., This Week or Next Week), ready for the team to begin.
Daily Monitoring & Board Management
- Phase Management: Once requests are In Progress, you ensure designers move tickets accurately between phases: In Progress, Design Review, Stakeholder Review, and Completed.
- Live Updates: Simultaneously monitor project progress to update the "Status" and "Phase" fields.
- Proactive Follow-up: Follow up on any outstanding feedback or queries made by the designer, design manager, or stakeholders within a 1-day window.
- The 24-Hour Rule: Monitor project progress daily and report immediately if a project is stalled or a deadline is at risk.
Workflow Optimization & Communication
- Status Meetings: Conduct regular status meetings with the design team to review progress and identify potential roadblocks.
- Stakeholder Communication: Provide timely and proactive feedback to the Design Team Manager, highlighting when the team or stakeholders are at risk of falling behind schedule.
- Process Adherence: Ensure all team members and stakeholders are following established project workflows and communication protocols.
- Reporting: Prepare the Weekly Marketing Design Update every Monday by 2 PM, grouping tasks by team and stakeholder action items.
Relationship Management & Collaboration
- Cross-Functional Collaboration: Collaborate closely with the Design Manager, the broader design team, and the wider marketing department to ensure the timely and efficient delivery of all finished products.
- Stakeholder Engagement: Present and participate in client or stakeholder-facing meetings with confidence, acting as the primary point of contact for project timelines and workflow status.
- Relationship Building: Build and maintain strong relationships with internal clients and team members through thorough preparation, professional expertise, and consistent delivery.
- Advocacy: Act as an internal thought leader and champion for the design studio processes across the organization, ensuring all teams understand how to best work with the design studio.
Logistics & Team Integration
- Global Synergy: Execute occasional conference calls in the early evening as needed to facilitate collaboration with US-based personnel. (Note: Your direct manager and designer colleagues are based in Cape Town).
Hybrid Engagement: This is a hybrid role, with occasional time required for in-office team meetings at the Century City, Cape Town office.
What You Have:
- Experience: 5+ years in traffic coordination or project management within a design or creative environment. A Bachelor’s degree in design or a related design field. The equivalent in work experience will be considered. Previous business-to-business marketing experience required.
- Technical Mastery: High proficiency in Asana and Gsuite. Expert at managing board transitions, subtask dependencies, and automated request forms.
- Organizational Prowess: Strong time-management skills and the ability to handle multiple projects simultaneously under pressure. Discretion, self-motivation, diplomacy, and the ability to work both independently and as part of a team. Show initiative to gather what is needed in order to complete a project.
- Communication: Excellent interpersonal skills; Effective and clear written and verbal communication skills; ability to anticipate and resolve workflow issues diplomatically.
- Environment: Comfortable with a hybrid role and collaborating with global personnel.
