We’re looking for a highly organized, detail-driven Talent Ops Assistant who will support our internal recruiting operations, keep our ATS running smoothly, manage job postings and inbound applications, and assist with both internal and external hiring workflows. This role blends HR administration, recruiting coordination, ATS management, sourcing support, and operational assistance for the leadership team.
You will be the go-to person for Ashby, ensuring that every job, pipeline, automation, and report is updated, accurate, and aligned with our processes. You’ll also manage our job boards, review inbound applicants, coordinate interviews, run reference checks, assist with quarterly reviews, and jump into sourcing or recruiting tasks when the team is behind.
This is a high-impact role for someone who loves structure, is energized by fast-moving workflows, and takes extreme ownership.
Own Ashby ATS setup, updates, and maintenance across all roles and clients
Maintain job postings, pipelines, scorecards, tags, and automations
Ensure clean and accurate data for reporting and dashboards
Prepare weekly recruiting reports for leadership and internal teams
Post and maintain openings across all job boards and sourcing channels
Review all inbound applications daily
Filter candidates based on experience, English level, and job criteria
Move, tag, and disposition candidates in Ashby with accuracy
Schedule interviews with candidates, recruiters, and clients
Prepare scorecards, interview packets, and candidate briefs
Follow up with candidates throughout the process
Send assessments, track completion, and maintain organized documentation
Conduct professional reference checks for all final candidates
Summarize findings in clear, concise reports
Support additional verification needs as required
Assist recruiters by building longlists of candidates on LinkedIn Recruiter
Apply advanced filters to match specific technical and non-technical profiles
Tag and hand off sourced candidates to recruiters for next steps
Support urgent roles when the team is at capacity
Assist with internal hiring processes for LatamCent roles
Support quarterly performance review cycles with templates, scheduling, and document management
Maintain employee records, organization charts, and HR files
Support the CEO with scheduling, internal follow-ups, and document preparation
Assist with internal operations tasks that require coordination and detail management
Help keep projects, timelines, and deliverables on track
Ashby is always updated, accurate, and clean
Recruiters and clients never wait for scheduling, documents, or follow-up
Inbound applications are reviewed daily and surfaced quickly
Reference checks are completed thoroughly with professional summaries
The team feels supported and able to move faster because of your work
You consistently anticipate needs before they’re requested
C2 English level (spoken and written)
1–3 years of experience in HR, recruiting coordination, or talent operations
Strong familiarity with ATS systems (Ashby experience is a plus, not required)
Exceptional organizational skills and attention to detail
Comfortable with repetitive and process-driven work
Ability to work independently with minimal oversight
Fast learner who adapts quickly to new tools and systems
