Our client is a physician-led medical practice in active growth mode, transitioning key functions in-house to create more focus, control, and operational efficiency. As the practice scales, the founder is building an internal structure to support long-term growth while maintaining high standards of professionalism, discretion, and operational clarity.

Remote | 9 AM - 5 PM CST
This role requires a bit of time flexibility, for example, starting earlier on some days.
Role Overview
The Administrative Assistant will serve as a trusted right hand to the founder and medical director, owning calendar management, communication flow, and operational follow-through. This is a proactive, high-autonomy role for someone who thrives in dynamic environments, anticipates needs before they’re stated, and brings order to complexity while protecting executive focus and priorities.
Key Responsibilities
Manage complex calendars across multiple commitments
Schedule meetings, appointments, and travel
Anticipate conflicts and proactively resolve scheduling issues
Draft, organize, and manage professional email communication
Serve as a point of contact for internal and external stakeholders
Ensure timely follow-ups and task completion
Organize documents, files, and internal systems
Assist with light project coordination and task tracking
Support day-to-day operational needs as they arise
Handle sensitive information with discretion
Act as a gatekeeper to protect executive focus and time
Provide reliable support in a fast-paced environment
Qualifications
3+ years of experience as an Executive Assistant or administrative partner
Experience supporting founders, physicians, or executives is a plus.
Familiarity with social media marketing or creative work is highly appreciated.
Bilingual proficiency in both English and Spanish.
Excellent written and verbal English communication skills
Highly organized, proactive, and detail-oriented
Comfortable managing multiple priorities independently
Professional, polished, and trustworthy
