The Executive Assistant must perform high-level, administrative work, confidential clerical work, scheduling/calendar management, coordinating, and organizing travel. You can take on a task with little direction and run with it! You know when to work on your own and when to ask for direction.
RESPONSIBILITIES:
- Act as the trusted “Right Hand” to the VP of Operations and occasionally support other members of the Executive team, ensuring seamless day-to-day operations.
- Perform high-level administrative tasks, including managing confidential documents, preparing reports, and handling sensitive communications.
- Maintain and coordinate complex calendars, scheduling meetings, appointments, and events with precision and foresight.
- Organize and manage domestic and international travel arrangements, including flights, accommodations, itineraries, and expense tracking for business and personal.
- Handle multiple tasks and shifting priorities efficiently, ensuring deadlines are met without compromising quality.
- Take ownership of assignments with minimal direction, showing initiative and resourcefulness in completing tasks.
- Exercise sound judgment to determine when to act independently and when to seek input or clarification.
QUALIFICATIONS:
- Experience: Minimum of 5 years of experience as an Executive or Personal Assistant supporting senior leadership in a fast-paced environment preferred.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook, with the ability to quickly learn new tools and systems.
- Proactive Mindset: Self-starter who anticipates needs, takes initiative, and stays one step ahead in supporting executive priorities.
- Professional Demeanor: Confident and composed, with the ability to be assertive and persistent when necessary while maintaining professionalism.
