Automation and Systems Specialist

Role Overview

We are hiring a smart, detail-oriented Automation & Systems Specialist to support the backend operations of our fast-growing coaching company. This role is ideal for someone who loves building systems, improving workflows, and creating reliable automation that keeps the business running smoothly.

You don’t need decades of experience — but you do need hands-on skill with automation platforms and the ability to think logically through complex processes. You will be responsible for improving and maintaining the internal tech infrastructure that powers:

• Client delivery

• Operations

• Marketing systems

• Internal team workflows

• Student experience

You will be the go-to person ensuring our backend is fast, accurate, and dependable.

Key Responsibilities

• Build, maintain, and optimize automation workflows using Zapier, Make, and eventually n8n.
• Create and manage advanced HubSpot workflows, custom properties, lists, triggers, and CRM logic.
• Integrate and support our daily-use tech stack across multiple platforms.
• Troubleshoot system issues and ensure accurate, smooth data flow.
• Identify manual tasks and implement scalable automation solutions.
• Support internal teams by designing clean, efficient backend processes.
• Maintain consistent data across platforms such as HubSpot, Circle, Slack, and others.
• Build workflows for onboarding, student experience, coach operations, and renewal processes.
• Document systems clearly and provide simple training for internal team members.
• Handle routing logic, error handling, QA testing, and workflow optimization.
