Role: Accounting Associate

Monthly Rate: $650-750

Availability: 20 hours/week

What to Prepare:

1️⃣ English Proficiency Rating – You will need to enter your CEFR English proficiency level in the application form. If you’re unsure of your rating, you can take a quick assessment here: EF SET Quick Check.

2️⃣ Coconut VA Profile (Resume) – Before submitting your application, please create your Coconut VA profile using this template: Coconut VA Profile Template. ⚠️⚠️⚠️ YOUR RESUME MUST FOLLOW THIS FORMAT AND SHOULD BE IN ENGLISH. This is a test of how keen you are with details and how well you follow instructions. ⚠️⚠️⚠️

3️⃣ 1-Minute Introduction Video – Record a short introduction video (preferably using Loom) and provide the link in your application. Before you do, check out these video tips and sample videos. Important: By submitting your video, you grant Coconut permission to share it on our platforms to help increase your chances of being matched with a client. Videos with broken or dummy links will result in disqualification.

Requirements

Experience Needed:

-Create and send invoices

-Register incoming invoices in list, complete information with PO numbers and customer name and OP/NAB number

-Register invoice numbers in Excel list

-Check web shop for orders placed and register that information in the Excel list

-Check automatically sent invoices for VAT

-Complete order files for every order (save incoming invoice, sent invoice, certificate, PO, OP/NAB)

-Create invoices for Canadian customers in CAD, calculate and add sales tax

-Send payment links

-Register payment links and sales tax in list

-Check usage list for MSP, send usage information to customers (save files in MSP folder). Check invoice for usage.

-Send MSP invoices

-Create OPs in CRM for MSP usages or orders

-Process orders and reply to customers

-Communicate with customers about their invoices, about payment questions.

-Use external (customer’s) systems to send them invoices

-Set up ‘credit card on file’ options

-Add certificates to AvalaraTax

-Use of Quickbooks and AvalaraTax, Hubspot, Stripe, Wise

-Register any discrepancies

-Create customer accounts in Hubspot, Quickbooks, Web shop and AvalaraTax

Good to have:

-Experience with Quickbooks

-Knowledge of tax system in Canada and USA

-Quickbooks experience

Industry/Tools Experience:
