The Personal Assistant (PA) to the CEO will provide high-level administrative, operational, and strategic support to the Chief Executive Officer. This role requires exceptional discretion, strong organizational skills, and an understanding of the technology environment. The PA will act as a trusted partner, ensuring the CEO’s time, priorities, and communications are managed efficiently and securely.
Key Responsibilities
Executive & Calendar Management
- Manage and optimize the CEO’s complex calendar, meetings, and appointments
- Prioritize scheduling based on business impact and urgency
- Prepare agendas, briefing documents, and meeting summaries
- Track follow-ups and ensure timely execution of action items
- Manage internal and external communications on behalf of the CEO
- Act as a liaison between the CEO and board members, investors, executives, and partners
- Draft, edit, and review emails, and official correspondence
- Attend meetings alongside the CEO
- Take meeting minutes, capture decisions and action items
- Ensure accurate and professional representation of the CEO at all times
- Provide solutions to personal matters not limited to reminders to the CEO when required including personal calendar.
Strategic & Administrative Support
- Track key initiatives, deadlines, and deliverables
- Maintain organized and secure records of sensitive information
Confidentiality & Security Awareness
- Handle highly confidential and sensitive information with discretion
- Follow secure communication and data-handling best practices
- Act with a high level of integrity and professionalism
Travel & Logistics
- Coordinate domestic and international travel, including itineraries and logistics
- Manage expense tracking and reimbursements
- Organizing meetings and executive engagements
Required Qualifications
- Proven experience as a Personal Assistant or Executive Assistant supporting a CEO or senior executive
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and trustworthiness
- Ability to manage multiple priorities in a fast-paced environment
Tools & Skills
- Proficiency with calendar and email management tools (Microsoft 365)
- Strong working knowledge of documents and presentation tools
- Experience with task and project management systems is a plus
