Position Summary
We are seeking a detail-oriented and highly organized Loan Officer Assistant to support loan officers throughout the loan application and closing process. This role plays a critical part in ensuring accurate documentation, timely communication, and smooth coordination between borrowers, loan officers, and internal processing teams.
The ideal candidate has strong administrative and communication skills, understands the loan lifecycle, and thrives in a fast-paced, deadline-driven environment while delivering excellent client service.
Key Responsibilities
Loan Processing & File Management
- Assist loan officers with gathering, organizing, and reviewing client documentation related to real estate financing
- Review loan applications for completeness and accuracy prior to submission
- Maintain accurate and up-to-date loan files and client records
- Track loan timelines and ensure all tasks meet critical deadlines
- Prepare documentation to support smooth loan funding and closing
Client Communication & Coordination
- Communicate with clients to provide status updates, answer inquiries, and request additional information
- Act as a liaison between borrowers, loan officers, underwriters, and processors
- Maintain professional, timely, and clear communication with borrowers and referral partners
- Support positive borrower experiences through consistent follow-up and updates
Internal Collaboration & Workflow Support
- Coordinate with underwriters and internal teams to ensure timely loan processing
- Identify missing or incorrect information and resolve issues proactively
- Support the loan officer in managing multiple loan files simultaneously
- Assist with scheduling appointments, meetings, and follow-ups
Reporting & Administrative Support
- Maintain accurate tracking of loan applications and communications
- Generate reports on loan statuses and key performance metrics
- Assist with marketing efforts to support lead development and referral activity
- Perform additional administrative tasks to improve team productivity and operational efficiency
Qualifications
Core Knowledge & Experience
- Understanding of the loan lifecycle from application through closing
- Familiarity with different loan types (mortgage, personal, auto, commercial)
- Knowledge of borrower documentation, income verification, credit reports, and loan conditions
- Working knowledge of lending regulations (TILA, RESPA, ECOA, HMDA)
- Experience with loan processing systems, CRM platforms, and automated underwriting systems (AUS)
