Administrative Virtual Assistant

We are looking for a proactive and empathetic Virtual Assistant who can support with general administrative tasks, client onboarding, and session support. This role requires someone who is extremely organized, can handle multiple ongoing tasks, and thrives in a fast-paced environment. You’ll be managing client communications, onboarding new clients into the systems, processing session materials, and assisting with light content tasks. This position is ideal for someone who is tech-savvy, has great attention to detail, and enjoys helping others stay on track.

Duties/Tasks to Perform:

• Answer phone calls, respond to emails, and manage appointment scheduling.
• Issue client invoices and handle travel arrangements.
• Conduct online research and prepare presentations.
• Organize contact lists and manage data for analysis.
• Create client profiles and manage follow-ups within Practice Better.
• Track and ensure the completion of required health and liability forms.
• Maintain accurate client records and monitor their progress.
• Process AI-generated Zoom summaries and upload client protocols or reports.
• Monitor all client appointments and organize session materials.
• Use Canva to prepare report templates and support content posting or formatting.
• Organize and manage marketing materials.
