Hadley Designs is seeking a Virtual Assistant to support core operational functions across the business. This role is designed for dependable, detail-oriented support professionals who thrive in structured environments and take ownership of clearly defined responsibilities.
You will own specific processes within one or more functional areas and be trusted to execute them accurately, consistently, and on time with minimal oversight. This role emphasizes reliability, follow-through, and clear accountability within defined responsibilities.
Over time, you will also contribute to improving workflows and documentation within your scope, helping strengthen operational consistency as the business grows.
What You’ll Be Responsible For
Depending on your background and strengths, responsibilities may include:
- Customer support and order management
- Account health monitoring and basic reporting
- Inventory tracking and light supply chain coordination
- Data entry, reconciliation, and system updates
- Basic accounting or finance support
- Maintaining SOPs and internal documentation
- Executing assigned processes accurately and consistently while identifying issues early and proposing solutions

- Tasks are completed accurately, on time, and without rework
- Data, reports, and documentation are reliable and up to date
- Issues are surfaced early with clear context and recommended next steps
- Small, practical improvements are made over time
- The team relies on your consistency, accuracy, and follow-through
Requirements
Who You Are
- A highly reliable, detail-oriented operations or administrative support professional
- Comfortable working within defined systems and clear expectations
- Strong sense of ownership within assigned responsibilities
- Organized, process-driven, and proactive
- Calm and effective in a remote, fast-moving environment
Experience, Tools & Operating Requirements
- 2+ years of experience in an administrative, operations, customer support, or similar role
- Ability to consistently work a US-based schedule of 8:00am–5:00pm Central Time
- Access to a reliable computer and stable high-speed internet connection
- Strong working knowledge of Google Workspace, Slack, and ClickUp (or similar task/project management tools), and comfort using Loom for short video updates
- Impeccable written and verbal communication standards
- Comfortable following structured problem-solving expectations, including clearly stating issues, providing relevant context, proposing solutions, and recommending next steps when escalating
