We’re looking for an Executive Assistant (Finance) to support leadership at a fast-growing AI infrastructure company building core tooling for modern meeting intelligence products. This role is high-trust and high-ownership, focused on keeping executives organized, informed, and operating at full speed as the company scales.
You will manage executive workflows, handle sensitive information, and support planning across operations, finance-adjacent tasks, and internal coordination. This role is ideal for someone who enjoys bringing structure to complex environments and can operate calmly and confidently alongside senior leaders.

What You’ll Work On
Executive Support and Coordination
- Manage calendars, scheduling, and meeting logistics across time zones
- Prepare agendas, notes, and follow-ups to keep leadership aligned and moving
- Handle travel planning, expense coordination, and executive communications
- Act as a gatekeeper for priorities, ensuring focus on high-impact work
Finance and Operations Support
- Assist with finance-adjacent tasks such as invoicing coordination, expense tracking, and budget documentation
- Support preparation of reports, summaries, and materials tied to planning or reviews
- Work with internal and external stakeholders on operational and administrative workflows
- Maintain accurate records and documentation with strong attention to detail
Information Management and Execution
- Organize documents, files, and internal systems to ensure information is accessible and current
- Track action items, deadlines, and commitments across leadership initiatives
- Handle confidential information with discretion and sound judgment
- Improve workflows and systems as the company grows
What You Bring
- 3 to 6+ years of experience as an Executive Assistant, Executive Operations Assistant, or similar role
- Experience supporting senior leaders in a startup, SaaS, or technical environment
- Finance or accounting background preferred, including comfort with numbers, reports, or budgets
- Strong organizational skills with the ability to manage multiple priorities independently
- Clear written and verbal communication skills
- High level of professionalism, discretion, and reliability
Nice to Have
- Experience working with founders or executive teams at early or growth-stage companies
- Familiarity with tools such as Google Workspace, Notion, Slack, and basic finance systems
- Comfort operating in technical or developer-focused organizations
- Interest in AI, infrastructure, or product-driven businesses
