In this role, you will provide crucial secretarial support to ensure seamless operations within the organization. Accountabilities
- Communicate effectively with internal and external stakeholders via phone, digitally, and in person.
- Manage and maintain executive calendars, using sound judgment to prioritize meetings.
- Organize details related to arranging business meetings, including logistics and catering.
- Assist leadership with presentations and meeting materials.
- Maintain travel schedules and make necessary travel arrangements.
- Maintain office files, records, and filing systems.
- Determine the proper course of action for incoming requests and correspondence.
- Anticipate needs before they arise and eliminate potential bottlenecks.
- Handle audio/visual needs for meetings as required.
Requirements
- 5+ years of experience supporting senior-level executives in complex organizations.
- Experience managing details for executives related to calendaring, travel planning, and expense management.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Ability to build strong working relationships internally and externally.
- Demonstrated capacity for confidentiality.
- Strong organizational skills and the ability to manage a large workload.
