The Sales Operations Specialist is responsible for optimizing the efficiency and effectiveness of the sales team by managing processes, systems, reporting, and tools. This role acts as the operational backbone of the sales organization, ensuring smooth execution, data accuracy, and strategic insights that drive revenue growth.
RESPONSIBILITIES
Operational Audits & Cross-Functional Collaboration
- Conduct comprehensive audits to identify operational bottlenecks, workflow gaps, and process inefficiencies across the revenue engine.
- Collaborate with Success and Marketing teams to gather data, validate insights, and develop an understanding of current processes.
- Prioritize projects and improvement opportunities using data analysis, revenue impact, and overall team health indicators.
Process Improvement & Scalability
- Implement strategic initiatives that enhance processes, elevate workflow efficiency, and drive continuous improvement.
- Identify, design, and deploy scalable processes that increase sales productivity and support organizational growth.
- Maintain clear documentation of all processes, optimizations, and automation solutions to ensure visibility and consistency.
Automation, Systems, and Tools Management
- Evaluate and recommend opportunities for process automation, leveraging HubSpot and other productivity tools.
- Own the creation, optimization, and maintenance of all HubSpot dashboards, reports, and workflows to ensure data accuracy and accessibility.
- Regularly audit hub to ensure proper usage, data hygiene, and alignment with operational standards.
- Evaluate, implement, and train teams on new tools, systems, and automation platforms to support efficiency at scale.
- Ensure sales teams have the tools, resources, and leads required to achieve monthly goals.
Forecasting, Pipeline Management & Performance Measurement
- Support forecasting, pipeline analysis, and strategic planning by providing accurate reporting and actionable insights.
- Establish and maintain clearly defined team goals, KPIs, and a robust MQL pipeline to ensure targets are consistently exceeded.
- Continuously collaborate with Marketing to refine and optimize the lead-to-paid process.
Stakeholder Communication & Alignment
- Serve as a key liaison between Sales and internal stakeholders to ensure alignment on processes, systems, and strategic priorities.
- Present outcomes, insights, forecasts, and recommendations to stakeholders regularly to inform decision-making and drive revenue performance.
Requirements
- Proven ability to identify operational bottlenecks and inefficiencies, and implement strategic initiatives for process improvement and workflow enrichment.
- Strong capability in conducting data gathering, pipeline analysis, forecasting, and prioritizing projects based on data analysis and revenue impact.
- Expertise in managing and maintaining HubSpot (dashboards, reports) and other sales tools/automation platforms.
- Skill in creating and maintaining detailed documentation of processes, improvements, and automation solutions.
