Legal Assistant – Litigation & Case Production
Shift: Monday–Friday 8:30 AM – 5:30 PM EST Remote
Core Responsibilities
• Case Setup & Matter Management
• Create and maintain matters in Clio
• Open new cases, organize pleadings, correspondence, discovery, and exhibits
• Maintain consistent electronic file structures and naming conventions Document Drafting & Preparation
• Draft routine legal documents under attorney direction, including:
• Complaints
• Demand letters
• Notices
• Standard motions and responses based on firm templates Format documents to court-filing standards Proofread all work for accuracy, completeness, and formatting discipline Filing & Court Interaction
• E-file documents in Florida state courts and federal courts (CM/ECF), as trained
• File routine notices, pleadings, and submissions
• Save and properly organize filing confirmations Litigation Support
• Send and track medical records and billing requests to medical providers and facilities
• Communicate directly with medical providers, billing departments, and records custodians regarding records requests and follow-ups
• Receive, organize, and compile medical records and billing into clean, chronological files
• Prepare and organize medical records for attorney review in advance of demand letters, complaints, and litigation filings
• Assist with discovery preparation and document organization
• Prepare draft correspondence to opposing counsel, insurers, and medical providers
• Support attorneys with hearing preparation, exhibit organization, and case summaries AI-Assisted Workflow
• Use AI tools to assist with summarization, document organization, and first-pass drafting under attorney supervision
Preferred Skills (Not Required)
• Familiarity with Florida state e-filing systems and federal court filing systems (CM/ECF)
• Advanced experience with Clio
• Proficiency with Google Workspace tools (Google Drive, Gmail, Google Calendar, Google Meet)
• Familiarity with Slack or similar internal communication platforms
• Comfort using AI tools as productivity aids
Skills:
• Strong written English proficiency suitable for professional legal drafting
• Excellent attention to detail and formatting discipline
• Proficiency with Microsoft Word and Excel, including document formatting and basic data handling
• Prior experience working for a U.S.-based law firm in a legal assistant, paralegal, or litigation support role (1 year in Personal Injury)
• Ability to follow templates, filing rules, and detailed instructions precisely
• Strong organizational habits and accountability for assigned tasks
• Ability to manage tasks independently, prioritize work, and meet deadlines consistently
• Ability to accept feedback, revise work product, and improve accuracy over time
