You are the operational heartbeat of the Espoo office. While our engineers build satellite technology, you ensure their physical environment is safe, functional, and fully stocked. By managing the service desk and acting as the primary bridge between the team and Finnish-speaking vendors, you solve the daily "friction" of office life -from fixing a cooling issue in a lab to ensuring meeting rooms are ready for high-stakes collaboration

Requirements
In this role, you will be a central point of coordination for day-to-day office operations and employee support. You will ensure smooth communication, timely follow-ups, and high standards of cleanliness, safety, and service delivery across the premises.
Acting as a bridge between employees, external service providers, and the Facilities function, you will play a key role in keeping the workplace organized, responsive, and operational -especially in a technically demanding environment with a large number of engineers and specialists.
General Responsibilities
- Actively monitor and manage all facilities- and office-related communication channels, including email, Slack messages and channels, and phone calls.
- Monitor the service desk system, tracking open tickets, progress, items on hold, and completed actions.
- Work on service desk requests and support facilities-related projects in cooperation with the Facilities and Operations teams.
- Proactively follow up on pending requests, orders, or inquiries with vendors, building management, and service providers.
- Actively monitor office-related requests from employees and ensure timely resolution or proper escalation.
Office Operations, Safety & Cleanliness
- Perform regular safety and cleanliness walks of the premises, identifying issues and coordinating corrective actions.
- Monitor overall cleanliness and maintenance status and liaise with cleaning or maintenance partners when issues fall under their responsibility.
- Coordinate daily cleanliness topics with cleaning staff and ensure agreed service levels are met.
- Supervise on-site contractors when present, ensuring work is performed safely and according to plan.
- Cooperate closely with the external Integrated Facilities Management (IFM) partner and on-site consultants (e.g. cleaners, handymen, coordinators).
Supplies, Inventory & Facilities Support
- Monitor and manage inventory levels for office supplies, groceries, and consumables.
- Prepare, maintain, and update consumable inventory lists.
- Place and coordinate weekly orders for groceries, stationery, coffee, tea, and other office supplies.
- Monitor meeting rooms and shared spaces, ensuring availability of markers, erasers, notes, whiteboard supplies, and general readiness.
- Support attendance- and parking-related monitoring and coordination tasks as required.
Requirements
- Proven Finnish language proficiency at B2 level or higher (CEFR) - Mandatory requirement.
This role requires daily, independent communication in Finnish with local vendors, building management, maintenance providers, and contractors. The candidate must be able to understand, speak, read, and write Finnish confidently in a professional context, including handling phone calls, emails, service requests, and on-site discussions without translation support. - Professional working proficiency in English, as you will support an international employee base and communicate internally in English.
- Basic technical understanding of office building systems and workplace infrastructure, sufficient to:
- Understand and interpret employee service desk tickets describing technical issues (e.g. ventilation, heating, cooling, lighting, access control, meeting room equipment).
- Communicate issues clearly and accurately to external maintenance providers or IFM partners.
- Ask relevant clarifying questions and assess urgency and impact, without performing technical repairs yourself.
- Strong organizational and prioritization skills, with the ability to manage multiple service desk requests, follow-ups, and ongoing tasks simultaneously.
- A proactive, service-oriented mindset with strong ownership of issues from initial request through resolution and confirmation.
- Strong interpersonal and communication skills, enabling effective daily interaction with employees, vendors, and external partners.
- Ability to work independently on-site while collaborating closely with Facilities, Operations, and external partners.
- Comfort using service desk tools, communication platforms (email, Slack), and basic office software to document and track work.
Bonus points for:
- Previous experience in office operations, facilities coordination, workplace services, or service desk–oriented roles.
- Familiarity with building systems such as HVAC, access control, AV equipment, or basic electrical/maintenance concepts.
- Experience working with Integrated Facilities Management (IFM) partners or building maintenance providers.
Exposure to technically oriented work environments (e.g. R&D or engineering-heavy organizations). - Flexibility to support occasional activities outside of regular business hours.

- Base salary range for this position is 3100€-3600€ per month (gross) contingent on your experience level, and will be negotiated individually.
