We are seeking a detail-oriented and organized Office Assistant to provide remote back-office and operational support to our US-Client's clinical team specializing in ABA Therapy. This role plays a key part in tracking provider utilization, supporting Registered Behavior Technicians (RBTs), and ensuring accurate documentation and system usage.
PLEASE NOTE:
- Working Hours: This role requires you to work EST hours Mon - Fri from 9am to 6pm EST (4:00 PM to 1:00 AM South African time - subject to change in accordance with daylight savings in the United States).
- Public Holidays: This role requires you to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
- Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
- Work Environment: This is a fully remote working role.
Responsibilities:
- Track provider utilization, including scheduled hours vs. verified hours with completed session notes.
- Maintain and update utilization trackers to ensure accuracy and completeness.
- Verify that scheduled sessions are supported by completed and approved documentation.
- Follow up with providers regarding missing or incomplete session notes.
- Support new RBT onboardings with systems training and documentation expectations.
- Train and assist RBTs on writing session notes and navigating internal systems.
- Provide hands-on support to RBTs during their initial period to promote consistency and confidence.
- Assist with additional administrative and operational tasks as required.
Requirements
- Industry Experience:
- Prior experience in an administrative, office support, or healthcare-related role
- ABA experience is advantageous
- Soft Skills:
- Excellent written and verbal English communication skills
- Strong organizational skills with high attention to detail
- Ability to multitask and manage priorities effectively
- Technical Skills:
- Basic computer proficiency, including MS Office and Outlook
- Comfortable navigating multiple systems and platforms
