This fully remote role offers the opportunity to provide high-level operational and administrative support in a dynamic, growth-oriented environment. You will help streamline processes, manage executive calendars, and maintain accurate client records while enabling leadership to focus on strategic coaching and business development. The role requires a proactive, detail-oriented professional capable of handling multiple priorities and improving operational efficiency. You will support client engagement, document workflows, and use AI and automation tools to enhance productivity. This position provides visibility into core business operations and directly contributes to the success of both clients and the organization. It is ideal for someone comfortable working independently, taking initiative, and driving continuous improvement.
Accountabilities
- Manage executive calendars, schedule client calls, onboarding meetings, and coordinate all calendar logistics
- Monitor and respond to client communications, ensuring timely follow-ups and professional correspondence
- Track client engagement, manage sales pipelines, identify at-risk engagements, and maintain organized client records
- Prepare and manage client contracts using DocuSign or similar platforms, ensuring proper execution and filing
- Format and optimize client resumes to maintain professional branding and consistency
- Use AI tools to research target companies, enrich client data, identify decision-makers, and draft personalized outreach
- Maintain accurate CRM records, update coaching progress, and generate engagement reports
- Identify repetitive tasks and implement process automation or workflow improvements to optimize operations
- Support operational projects and assist leadership in streamlining business processes
Requirements
- 1–3 years of experience as an executive assistant, administrative, or operations professional
- Fluent in English with clear and confident communication skills for client-facing and internal tasks
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities
- Professional, proactive, and comfortable working independently in a remote environment
- Technical proficiency in Google Workspace, Microsoft Office, DocuSign, and cloud collaboration tools
- Experience with CRM platforms, preferably Go High Level, and familiarity with workflow automation tools
- Comfortable using AI tools for research, data enrichment, and outreach (e.g., ChatGPT, Claude, Seamless AI)
- Background in sales support, recruiting, or client-facing roles is a plus
- Critical thinking and problem-solving skills to identify inefficiencies and propose improvements
