About the Job
The Tax Coordinator keeps tax filings moving when things get complex, unclear, or stuck.
This role is the operational backbone of the tax filing process — identifying blockers, coordinating next steps across clients and internal teams, and ensuring nothing stalls during the most critical time of the year. You bring structure, clarity, and momentum to situations that don’t always have a clean or obvious answer.
Tax Coordinator help clients navigate tax season with confidence by owning communication, coordination, and follow-through from start to finish.
This is a high-ownership, execution-focused role in a fast-moving environment.
You’ll manage your own queue, make judgment calls daily, and move work forward even when information is incomplete. While SOPs, templates, coaching, and feedback loops are provided, success comes from your ability to prioritize, communicate clearly, and close loops consistently.
You’ll collaborate closely with Tax Advisors, preparers, reviewers, and operations teams to ensure client filings are completed accurately and on time.
Manage incoming client communications across:
Personal inbox
Shared support inbox
Tax application platform
Triage requests based on urgency, deadlines, and client impact.
Prevent threads from stalling by identifying the true blocker and driving the next step.
Maintain clean case notes, statuses, follow-ups, and next steps so work can be picked up seamlessly by others.
Coordinate client tax filings from intake through completion.
Ensure filings are properly set up and required documents are collected.
Act as the communication bridge between clients and preparers/reviewers.
Collect signatures and final approvals required for filing.
Close out completed filings and deliver finalized documents to clients.
Proactively follow up with unresponsive clients via email, text, and phone.
Participate in client calls when a live conversation is the fastest path to resolution.
Communicate clearly, calmly, and empathetically — especially during high-stress moments.
Work closely with Tax Advisors, Bookkeeping, Compliance/Operations, Client Success, and leadership teams.
Coordinate handoffs and ownership across teams to ensure end-to-end progress.
Contribute to team performance goals and operational metrics.
Help improve workflows, templates, SOPs, and internal tools.
Identify recurring blockers and propose solutions to increase throughput and quality.
Treat processes as living systems — follow them, then help make them better.
Post-secondary education in:
Business or Administration
Accounting or Finance
Communications
Operations or Project Management
Or equivalent, relevant experience
2+ years of experience in any combination of:
Customer support or customer success (written communication-heavy)
Operations coordination, case management, or workflow administration
Financial operations, tax operations, or bookkeeping support (nice-to-have)
Comfortable working across multiple tools and queues (e.g., Slack, Google Workspace, ticketing or workflow systems).
Experience managing deadlines, follow-ups, and detailed workflows.
Deliver an excellent client experience through clear, timely, and empathetic communication.
Stay calm and composed in stressful or ambiguous situations.
Operate with strong attention to detail and follow-through.
Take ownership — you proactively problem-solve and close loops.
Gather context and collaborate rather than deflecting issues.
Manage time and priorities effectively in a high-volume environment.
Adapt quickly as processes, volume, and priorities shift.
Learn new systems and tools confidently.

USD monthly compensation, competitive to market, based on experience & location.

Exposure to diverse U.S. industries and modern bookkeeping stacks; tight feedback loops and documented methods.
Contract Status & Exclusivity
This is a full-time role. Exclusivity is required—no part-time or freelance work once hired.

Laptop: Mac (M1 / 128GB SSD) or Windows (Intel i7-12th/13th gen, 8GB+ RAM, NVMe 128GB+, Windows 11 Pro).
Peripherals: External monitor, headset, privacy screen.
Internet: 75–100 Mbps stable connection.
Quality-first: predictable close calendars, review notes, and neat folders—every time.
Security: MFA, least-privilege access, and secure file-sharing are non-negotiable.
