We're looking for a dynamic individual to join our team as an HR Coordinator in our Burnaby studio (in-office position). Reporting directly to the HR Manager, you'll play a pivotal role in managing workforce documentation and internal databases, while also assisting in the hiring process.
Responsibilities:
- Create, edit, and manage employment contracts, and other essential documents.
- Oversee records management, including new hire paperwork and data integrity within multiple systems.
- Handle data input related to employee documents, personal information, and leave requests.
- Coordinate with various departments to maintain up-to-date information.
- Manage and update records for incident reports, disciplinary reports, and probationary reports.
- Gather data and create reports for key performance indicators.
- Supervise new employee onboarding and orientation sessions.
- Act as the main point of contact for employee inquiries, including our company benefit program.
- Assist in updating company policies and procedures.
- Proactively suggest improvements to HR systems and processes.
- Provide training and mentorship to HR Admins in Canada.
- Assist in ad hoc projects and support team members as needed.
- Serve as the primary contact for immigration-related questions and support mobility and travel requests.
- Perform any other duties as assigned.
- Proficiency in core office programs, such as MS Office products.
- Exceptional organizational skills with keen attention to detail.
- Outstanding interpersonal and communication skills to effectively respond to HR-related inquiries through in-person meetings, emails, and phone calls.
- Strong problem-solving capabilities, coupled with resourcefulness and a proactive attitude.
- Demonstrated ability to learn quickly and contribute positively to a team environment.
- Adept at prioritizing work demands and being accountable to meet deadlines.
- Knowledge and awareness of all applicable employment laws and legislations.
- Previous experience with HRIS, Excel, Salesforce, Confluence, Jira, or Smart Recruiters is considered advantageous.
Education and Experience
- Preferred Bachelor's degree or Diploma/certificate in Human Resources, Business Administration, or a relevant business field.
- Demonstrated minimum of 2 years of experience as an HR Administrator or in a relevant administrative role.
- Possession of or progress towards CPHR certification is an asset.
- Proficiency in languages such as Vietnamese, Korean, Japanese, or Mandarin is considered a valuable asset.
