ISTA is looking for a reliable and detail-oriented IT Administrative Assistant to provide direct support to our IT Manager and the wider IT function. This is an internal role focused on administration, coordination, compliance, and operational support within ISTA’s IT environment.
PLEASE NOTE:
- Working Hours: This role requires you to work EST hours Mon - Fri from 9am to 6pm EST (4:00 PM to 1:00 AM South African time - subject to change in accordance with daylight savings in the United States).
- Public Holidays: This role requires you to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
- Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
- Work Environment: This is a fully remote working role.
Responsibilities:
Administrative & Documentation Management
- Perform routine administrative tasks in support of the IT Manager
- Maintain accurate IT records and documentation
- Update internal IT paperwork and ensure proper file organisation
Compliance & Audit
- Conduct internal audits on agents to review system access and compliance
- Support adherence to ISTA IT policies and security standards
Equipment & Vendor Coordination
- Track and follow up on internal hardware and software deliveries
- Liaise with vendors and confirm timely receipt of IT equipment
- Reporting & Documentation
- Prepare internal status reports for the IT Manager
- Ensure IT documentation and reporting remain current and accurate
IT Team Support
- Assist the IT Manager with troubleshooting coordination, scheduling, and communication
- Provide administrative support for ad-hoc IT-related tasks
Escalation & Scheduling
- Assist with scheduling and coordinating escalated IT queries until resolution
- Contact agents to arrange technical calls, equipment collections, and deliveries to support MSP operations
Requirements
- Strong administrative and organisational skills
- Excellent attention to detail and documentation accuracy
- Clear and professional communication skills
- Comfortable working with IT systems, processes, and sensitive information
- Ability to manage priorities and follow up independently
- Previous IT administration or support experience is advantageous
