Accountabilities:
- Provide advanced administrative support to departmental leadership, ensuring smooth daily operations and efficient coordination of schedules, meetings, and travel arrangements.
- Prepare, edit, and manage documents, presentations, memos, and reports while ensuring accuracy and confidentiality of sensitive information.
- Track, organize, and report on financial and operational data, including budget monitoring and spreadsheet management.
- Coordinate meetings and special projects, including agenda preparation, documentation, and follow-up on action items.
- Interpret and apply departmental policies and procedures to support administrative decision-making and workflow consistency.
- Manage incoming administrative requests and communications, ensuring timely resolution and appropriate escalation when necessary.
- Support continuous improvement of office processes and contribute to the overall efficiency of departmental operations.
Requirements:
- Minimum of 5 years of progressive experience as an administrative assistant or in a senior-level secretarial role.
- Completion of at least two years of college education or a vocational secretarial program; associate or bachelor’s degree preferred.
- Prior experience in a healthcare or complex organizational environment is highly desirable.
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Advanced proficiency in Microsoft Office tools, particularly Excel, Word, and PowerPoint.
- Excellent written and verbal communication skills with the ability to handle sensitive information with discretion.
- Ability to work independently, prioritize tasks effectively, and meet tight deadlines in a fast-paced environment.
