This role provides essential administrative support to a pension administration team, helping ensure smooth daily operations and high-quality service delivery.
You will contribute to the organization and coordination of processes that support clients, internal teams, and operational priorities.

Accountabilities:
- Provide daily administrative support to the pension administration team, ensuring efficient fulfillment of operational tasks.
- Support training and knowledge transfer activities related to client processes and internal procedures.
- Participate in learning and implementing new processes and workflows.
- Manage incoming and outgoing communications, including mail, emails, and faxes.
- Respond to team inquiries and administrative requests in a timely and professional manner.
- Ensure compliance with audit, quality control, and peer review processes.
- Organize and prioritize daily activities based on team requirements and client deadlines.
- Attend and actively participate in team and department meetings.
- Support client invoicing activities and coordination with external providers when required.
- Assist with annual and ad hoc projects, including statements, tax documentation, audits, and other operational initiatives.
Requirements:
- Strong administrative experience with excellent organizational and time-management skills.
- Ability to manage multiple priorities and meet tight deadlines while maintaining accuracy.
- Proficiency with Microsoft Office tools, including Word, Excel, PDF, Outlook, and Teams.
- Familiarity with digital collaboration tools such as Google Workspace and Workday is an asset.
- Strong attention to detail with the ability to identify errors and maintain accurate records.
- Excellent communication skills and the ability to respond effectively to internal requests.
- Team-oriented mindset with a willingness to collaborate and support colleagues.
- Ability to take initiative and work independently when required.
- Experience in administrative support, pension administration, financial services, or a related environment is an advantage.
