Our client is a leading provider of third-party logistics (3PL) solutions that helps businesses optimize warehousing, fulfillment, and value-added logistics services. As they continue to grow, they are seeking a highly organized Senior Admin Coordinator to support client operations, maintain accurate reporting, and serve as a key liaison between clients and internal departments.
As the Senior Admin Coordinator, you will provide administrative and operational support across client accounts while ensuring accurate order processing, reporting, documentation, and project coordination. You'll serve as a key point of contact for client inquiries, collaborate closely with Operations and Client Services teams, and help ensure fulfillment activities run efficiently.
This role is ideal for someone who enjoys solving operational challenges, working with data, supporting client success, and maintaining exceptional organization in a fast-paced logistics environment.
Fully Remote | 9:00 AM – 5:00 PM EST
Perform administrative tasks including report generation, document management, filing, email correspondence, and operational record maintenance.
Support inventory control, work order processing, and day-to-day operational activities.
Maintain accurate client documentation, procedures, and operational records.
Serve as a primary point of contact for assigned client accounts regarding order status, special projects, inbound receipts, fulfillment, and returns processing.
Respond promptly to client inquiries and resolve operational issues through effective communication and collaboration.
Participate in Client Satisfaction Team (CST) meetings to better understand client expectations and identify improvement opportunities.
Process daily customer orders, including held orders, backorders, drop shipments, and order status updates.
Monitor order activity and escalate issues appropriately to internal teams.
Ensure order transactions are processed accurately and efficiently.
Generate and distribute daily, weekly, and monthly operational reports.
Support billing accuracy through proper documentation and reporting.
Maintain and update client-specific procedures, SOPs, and project documentation.
Support Account Managers and Client Services teams with project setup, execution, quality control, and ongoing operational activities.
Coordinate special projects while ensuring timelines and client requirements are met.
Collaborate across departments to ensure seamless operational execution.
Research and resolve operational issues by analyzing inventory records, receiving documentation, cycle count results, and order details.
Identify opportunities to improve administrative processes and operational workflows.
Support continuous improvement initiatives that enhance efficiency and client satisfaction.
3+ years of experience in administrative coordination, client services, operations support, or a similar role.
Experience working within a 3PL, warehouse, fulfillment, logistics, or supply chain environment is strongly preferred.
Experience generating operational reports, supporting business reviews, and coordinating client-facing projects.
Experience working with Warehouse Management Systems (WMS) or Business Intelligence (BI) platforms.
Strong experience using Microsoft Excel to analyze operational data, generate reports, and support business decision-making.
Proficiency with Microsoft Office Suite, including Word, Outlook, and PowerPoint, for documentation and client communication.
Strong analytical and problem-solving skills with the ability to investigate operational issues and identify practical solutions.
Excellent communication skills with the ability to communicate professionally with both clients and internal stakeholders.
Experience working with Warehouse Management Systems (WMS), order processing platforms, or similar operational systems.
Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
Experience documenting operational procedures, maintaining SOPs, and supporting process improvements.
Highly organized with exceptional attention to detail.
