Our Strategy & Operations team is a small and top-performing team. We work on high priority projects across the organization, such as identifying new business opportunities, leading teams, and fixing operational and performance issues. In this team, you will lead complex initiatives to ensure we achieve our goals. All team members enjoy great autonomy in identifying problems, carrying out analysis, designing solutions and implementing them, whilst collaborating with teams across Voodoo organization.

Role

We're looking for an Executive Assistant to join our Strategy & Operations team. In this role, you'll provide high-level professional support to our leadership, ensuring seamless operations and optimal time management, while working closely with a team of Executive Assistants who embody collaboration, team spirit, and mutual support.

• Manage complex calendars and coordinate schedules across multiple internal and external stakeholders, including frequent coordination with executive leadership

• Organize and coordinate travel arrangements for domestic and international trips

• Plan and execute team events, off-sites, and strategic meetings

• Oversee team rituals and regular updates

• Act as the main point of contact between leadership and team members

• Handle administrative tasks including procurement, finance coordination, and vendor management

• Create and manage budgets for team activities and events

• Navigate multiple timezones to coordinate global meetings and communications

• Support board preparation and coordination activities

• Anticipate needs and proactively address potential scheduling conflicts or operational challenges

Profile

• Minimum 5 years of proven experience as an Executive Assistant

• Previous experience working with corporate environments, venture capital firms, boards, or political/governmental organizations

• Fluent in both French and English (written and spoken)

• Exceptional attention to detail and organizational skills

• Strong proficiency with calendar management tools and travel booking platforms (Egencia knowledge is a plus)

• Experience with budget creation and financial coordination

• Ability to manage complex schedules across multiple timezones

• Strong diplomatic skills with the ability to manage challenging stakeholders

• High level of discretion and ability to handle confidential information

• Proactive mindset with strong initiative-taking abilities

• Adaptability and resilience with a no-ego approach

• Ability to work independently and drive your own priorities
