About the Role
This blended Paralegal and Intake Specialist position supports by managing high‑volume Personal Injury (PI) pre‑litigation cases while serving as the initial point of contact for prospective clients. The ideal candidate is empathetic, detail‑oriented, and highly organized, with strong communication skills and the ability to manage both client intake and ongoing case development.
You will work alongside a collaborative, client‑focused legal team committed to the firm’s core values: Excellence, Teamwork, and Integrity. This role plays a critical part in ensuring clients receive exceptional service from first contact through the progression of their cases, including wrongful death, TBI, catastrophic injury, and major orthopedic matters.
Key Responsibilities
Intake & Client Onboarding
Serve as the first point of contact for prospective clients via phone, chat, email, and web forms.
Conduct initial case screenings to assess eligibility based on firm criteria.
Gather and document detailed information regarding incidents, injuries, damages, and representation needs.
Educate clients on the intake process and next steps (without providing legal advice).
Schedule consultations for qualified leads and ensure accurate, complete data entry in intake systems (e.g., Clio Grow).
Follow up with prospective clients to finalize intake steps and documentation.
Collaborate with attorneys, paralegals, and management to ensure seamless case handoff.
Pre‑Litigation Case Management
Manage a large volume of PI pre‑litigation cases from intake through case development.
Maintain frequent communication with clients to provide updates and explain medical treatment plans.
Review and analyze medical records to assess case value and necessary treatment.
Coordinate and oversee clients’ medical treatment, including surgeries, injections, infusions, and specialist referrals.
Assist clients in navigating medical providers, procedures, and ongoing care.
Prepare complete and accurate case files for submission to the demands department.
Required Experience & Skills
1–2 years of experience in PI case management or legal intake; California PI law experience strongly preferred.
Strong understanding of medical terminology and treatment types (surgeries, injections, infusions, etc.).
Ability to manage high‑volume caseloads and intake queues simultaneously.
Experience acting as a liaison between clients, medical providers, and legal teams.
Proficiency in typing at least 40 wpm.
Experience with CLIO or similar legal practice management systems is a strong plus.
Bilingual proficiency (Spanish/English) preferred.
