This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administrative Assistant (with Recruiting Support) based in Canada.
This role offers an opportunity to support daily operations while contributing to recruitment activities within a growing organization. You will provide essential administrative coordination, maintain accurate records, and help ensure teams remain organized and efficient. During hiring periods, you will also support recruitment efforts by reviewing applications, conducting initial screenings, and coordinating interviews. The position combines administrative expertise with strong communication and people skills. You will work closely with operations teams across the country in a structured, target-driven environment. Accountabilities:
- Provide daily administrative support to operations teams and leadership to ensure smooth business activities.
- Maintain trackers, spreadsheets, records, and documentation with accuracy and attention to detail.
- Prepare reports, documents, correspondence, and weekly operational summaries.
- Coordinate schedules, meetings, calendars, and follow-ups to keep priorities moving forward.
- Manage emails, administrative requests, and routine communications efficiently.
- Organize files and records to ensure information remains accessible and up to date.
- Collaborate with team leads and field staff to support day-to-day operational needs.
- Review candidate applications and resumes during active recruitment periods.
- Conduct initial phone screenings to evaluate candidate suitability, availability, and alignment with requirements.
- Schedule interviews with qualified candidates and maintain accurate applicant tracking records.
- Monitor recruitment activity across job platforms and identify opportunities for improvement.
Requirements:
- Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities.
- Clear and professional written and verbal communication skills.
- Comfortable using spreadsheets, email platforms, and learning new software tools.
- Ability to work independently, take ownership of tasks, and follow through on responsibilities.
- Reliable and self-directed approach with strong time management skills.
- Availability to work full-time, including evenings and weekends.
- Legally authorized to work in Canada.
- Previous experience in administration, office coordination, recruiting, customer service, or call center environments is an advantage.
- Familiarity with applicant tracking systems and data management tools is preferred.
