The VFX Coordinator position will manage the day-to-day administrative functions for the VP of Visual Effects, as well as interfacing with a variety of creative clients and high-level executives.
Essential Responsibilities:
- Support the VP of VFX in the daily running of assigned projects, managing schedules to ensure smooth operations through every stage of production
- Provide support for accounting functions, including processing invoices, submitting expense reports, and preparing purchase orders
- Arrange all travel and accommodations for internal and project‑based teams
- Assist with all office duties (telephones, schedules, calendar, files, correspondence, travel, expenses, reports, etc.) for the VP of Visual Effects
- Research and organize exploratory opportunities for emerging innovative technology, ideas, and projects
- Assist in onboarding new freelance staff
- Assist in researching potential VFX crew hires
- Schedule meetings (production, finance, clearances, computer support, marketing, security, insurance, etc.) with filmmakers and/or studio department heads for each project
- Support VFX production for 4K screenings, shot tracking, and submissions through vendor communication and scheduling
- Experience: Minimum of 2 years of experience in a VFX coordination role or position
- Technical Skills: Proficiency with the Apple platform, Word, Excel, Filemaker Pro, Flow Production Tracking (ShotGrid), Flow Capture, and Airtable
- Organizational Skills: Strong organizational and multitasking abilities
- Attention to Detail: Acute attention to detail and a commitment to delivering high‑quality work
- Team Player: Ability to work collaboratively in a fast‑paced environment
- Prioritization: Ability to prioritize requests across multiple projects in a fast‑paced, deadline‑driven environment

Hybrid: This position has been designated as hybrid, contributing a minimum of four days a week.

Salary range: $50,000 - $60,000 (hourly paid)
