Responsibilities:
We are looking for an organized, practical, and solution-oriented person to manage the administrative and operational activities of our office and provide basic IT support to the team. You will be the point of contact for suppliers, equipment, administrative documentation, and internal processes that contribute to the smooth running of the organization.
The role is part-time and involves close collaboration with the Operations team, as well as with the colleague responsible for Community & Employee Experience.
Office Administration & Operations
- Managing current administrative activities of the office.
- Ordering and monitoring consumables.
- Managing relationships with operational suppliers.
- Organizing logistics for meetings, meals, workshops, and internal events.
- Managing company accounts and subscriptions (phone service, courier, internal applications, etc.).
- Maintaining calendars for recurring activities and supporting meeting scheduling.
IT & Equipment
- Preparing and installing laptops for new colleagues.
- Managing equipment inventory.
- Coordinating equipment maintenance and liaising with service providers.
- Ordering and configuring new equipment in collaboration with management.
- Providing basic technical support to internal users.
Suppliers & External Services
- Managing relationships with suppliers such as: Vodafone, Fan Courier, travel agencies, promotional material suppliers, and administrative service providers.
- Organizing travel and coordinating travel logistics.
- Requesting quotes and monitoring the implementation of contracted services.
- Managing ad-hoc administrative requests.
Administrative & Documentation
- Obtaining and submitting necessary documents to institutions and authorities.
- Requesting ONRC, tax, and other administrative documents.
- Coordinating translation services.
- Maintaining records of internal documents and necessary access credentials across various platforms.
Qualifications:
- Previous experience in an administrative, office management, operations, or IT support role is an advantage.
- Excellent organizational and prioritization skills.
- Attention to detail and practical mindset.
- Good knowledge of Microsoft 365.
- Ability to manage multiple projects and requests simultaneously.
- English language skills at conversational and written level.
- An autonomous and proactive person.
- Problem-solving mindset.
- Flexibility in handling ad-hoc requests.
- Desire to contribute to improving internal processes.
