Role Overview
The Operations Support & Events Specialist will support the planning and execution of facility-based programs by managing event data, confirming bookings, and coordinating travel logistics for faculty and teaching assistants. This role requires exceptional attention to detail, strong communication skills, and the ability to manage high-volume logistics with accuracy and consistency.
Key Responsibilities
Enter and maintain facility and booking information across multiple internal systems with high accuracy.
Ensure facility records are complete, consistent, and updated in real time.
Maintain organized, traceable documentation and booking records for internal teams.
Confirm facility booking details directly with venues and partners, including dates, times, meeting space specifications, pricing, contract terms, and included services.
Identify and resolve discrepancies early to prevent impacts on program delivery.
Follow the vetting process for facilities hosting in-person audiences for virtual events.
Book sleeping rooms and coordinate travel logistics for faculty and teaching assistants.
Ensure travel arrangements align with program schedules.
Track booking confirmations, cancellations, changes, and key deadlines.
Follow up with hotels to confirm room reservations, check-in and check-out dates, guest lists, and room types.
Maintain clear documentation of all hotel communications and confirmations.
Provide support for webinar moderation as needed.
Assist with ordering extra course materials and other logistical tasks.
Qualifications
Experience managing event logistics, travel coordination, or operational support in a detail-driven environment.
Prior experience working with hotels, event venues, or travel logistics is a plus.
Experience entering data into multiple systems and maintaining accurate operational records.
Fluent English for professional communication with external partners in the U.S.
Strong email and phone communication skills.
Exceptional attention to detail when managing booking details, guest lists, and contract documentation.
Strong organizational skills with the ability to manage multiple bookings simultaneously.
Reliable follow-through, accountability, and ability to meet deadlines consistently.

Facility bookings and travel logistics are executed seamlessly with no last-minute issues.
All documentation and records are accurate, up to date, and easily traceable.
Discrepancies are identified and resolved proactively before impacting program delivery.
Faculty and teaching assistants experience smooth, well-coordinated travel and accommodations.
