Through coaching programs, educational offerings, enrollment campaigns, and client success initiatives, the company supports individuals in achieving meaningful business growth and professional development. As the organization continues to scale, they are seeking a highly organized Project Coordinator to bring structure, accountability, and operational excellence across multiple concurrent projects, launches, and business initiatives.

Role Overview

The Project Coordinator will serve as the operational backbone of the business, overseeing timelines, coordinating stakeholders, and ensuring day-to-day execution runs smoothly across the organization. The Project Coordinator will act as the central point of coordination for marketing initiatives, coaching programs, launches, content projects, and operational priorities while helping leadership maintain visibility into progress, priorities, and outcomes. This role is ideal for a highly proactive and detail-oriented professional who thrives in fast-moving environments and can successfully manage multiple projects, stakeholders, and priorities simultaneously.

Key Responsibilities

Project & Timeline Management

• Oversee and manage multiple ongoing projects, launches, program initiatives, and operational priorities simultaneously.

• Build and maintain project timelines for coaching programs, content initiatives, enrollment campaigns, and business operations.

• Ensure deadlines, deliverables, and launch milestones are achieved across the organization.

• Proactively identify bottlenecks and keep projects moving forward.

• Ensure tasks and priorities are clearly organized and communicated across the business.
  

Team Coordination & Accountability

• Coordinate communication across contractors, freelancers, virtual assistants, and internal team members.

• Ensure all stakeholders remain aligned on priorities, deadlines, and deliverables.

• Drive accountability across the organization and follow up on outstanding tasks and action items.

• Serve as the central point of coordination to ensure smooth operational flow.

• Help leadership maintain visibility through organized updates and project tracking.
  

Operational Organization & Systems

• Maintain and organize project management systems such as Airtable, Asana, ClickUp, Notion, or similar platforms.

• Improve operational workflows and identify opportunities to create more efficient systems and processes.

• Assist with SOP documentation and operational organization initiatives.

• Create structure and organization within a fast-moving environment.

• Maintain visibility into active projects and ensure information remains properly documented and accessible.
  

Founder Support & Reporting

• Help reduce operational overwhelm by creating structure and visibility around ongoing initiatives.

• Provide organized updates, project status reports, and executive-level summaries.

• Anticipate operational needs and proactively support priority management.

• Act as a key accountability partner and execution support resource.

• Support leadership in keeping projects, launches, and operational initiatives aligned.
  

Launch & Business Support

• Coordinate coaching program launches, enrollment campaigns, events, and other high-priority business initiatives.

• Ensure all moving parts across launches are properly organized and executed on time.

• Support collaboration between marketing, sales, client success, and operational functions.

• Help create a seamless experience for prospects and existing clients throughout launches and program delivery.

• Support special projects and business initiatives as the company continues to scale.
  

Qualifications Experience

• 3+ years of experience in project management, operations coordination, or similar organizational roles.

• Experience supporting coaching businesses, online education companies, personal brands, memberships, masterminds, or creator-led businesses is strongly preferred.

• Familiarity with the operational demands of launches, client programs, and online business environments.

• Proven experience managing multiple projects and stakeholders simultaneously.

• Experience coordinating cross-functional teams, contractors, freelancers, or virtual assistants.

• Experience supporting operational processes, business systems, and project execution initiatives.

• Proficiency with project management and organizational platforms such as Airtable, Asana, ClickUp, Notion, Slack, or similar tools.
