Accountabilities:
- Support the development, maintenance, and communication of travel safety, security, and risk management policies, procedures, and guidance materials across the organization.
- Coordinate with internal teams and regional stakeholders to ensure consistent implementation of safety and security standards and best practices.
- Maintain and update Duty of Care databases, staff profiles, and related operational records to ensure accurate and reliable information.
- Assist with the management of external vendors, including travel providers, insurance partners, security consultants, and Duty of Care service providers.
- Conduct research and contribute to the preparation of country risk assessments, security briefings, travel guidance, and operational support materials.
- Support crisis management and incident response activities by maintaining documentation, contact lists, procedures, and reporting records.
- Assist in the delivery of training programs and awareness initiatives related to travel safety, crisis preparedness, and organizational security.
- Provide day-to-day support to employees seeking guidance on travel, safety, security, and compliance-related matters.
- Administer organizational tools and systems, including document management platforms, managed travel programs, and electronic signature solutions.
- Support Request for Proposal (RFP) processes and sanctions compliance activities in collaboration with internal departments.
Requirements
- Minimum 2 years of professional experience in travel, safety, security, risk management, or related operational support functions, preferably within a global organization.
- Experience working with Duty of Care platforms such as Healix, International SOS, Global Guardian, Crisis24, or similar systems.
- Hands-on experience with database administration, records management, and maintaining operational data accuracy.
- At least 2 years of experience supporting or managing Request for Proposal (RFP) processes.
- Proficiency with Microsoft Office 365, SharePoint, Salesforce, and related business applications.
- Strong organizational, administrative, and multitasking skills with excellent attention to detail.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Excellent communication and stakeholder management skills, with the ability to support colleagues across different regions and functions.
- Advanced English proficiency (C1 level or equivalent).
- Additional proficiency in French or Spanish is highly desirable.
- Demonstrated ability to work independently while collaborating effectively in a remote and multicultural environment.
