We're looking for a Talent/Recruiting Coordinator who thrives in dynamic, fast-paced recruiting environments. You'll be the operational backbone that keeps our hiring processes smooth while our clients scaleโwhether they're a 5-person pre-seed team hiring their first employees or a 500-person+ company preparing for IPO. This isn't just about scheduling interviewsโyou'll be creating exceptional candidate experiences that showcase why top talent chooses to join our clients' teams at every stage of growth.
Interview Scheduling & Coordination: Schedule interviews across different time zones, send calendar invites, coordinate video calls, and ensure all participants have the information they need
Candidate Communication: Be the main point of contact for candidates throughout the hiring process. Answer their questions, provide updates, and ensure they have a positive experience that reflects our clients' people-first approach
ATS Management: Keep our recruiting systems (Ashby, Lever, Greenhouse) organized and up-to-date. Post jobs, update candidate profiles, and generate reports for the team
Application Review & Screening: Review incoming applications to identify qualified candidates from diverse backgrounds and forward the best ones to our senior recruiters
Process Support: Help recruiters with research, sourcing candidates on LinkedIn, and other tasks that support building high-performing, diverse teams
Documentation & Compliance: Collect required paperwork from candidates (NDAs, background check forms) and ensure all processes follow proper procedures
Process Improvement: Suggest ways to make our coordination processes more efficient and create better candidate experiences
Education & Experience: You might have studied HR, Psychology, Businessโor maybe you didn't. What's more important to us is that you've had at least 2-4 years of relevant experience supporting high performing recruiting teams or similar fast-paced environments. If you're organized, detail-oriented, and have helped keep hiring processes running smoothly across multiple roles or teams, we'd love to hear from you. You thrive in startup environments where priorities shift quickly and wearing multiple hats is the norm.
Technical Skills: Experience with applicant tracking systems (ATS) like Greenhouse, Lever, or Ashby is preferred. You're comfortable with scheduling across time zones and learning new software tools.
Communication: Excellent written and spoken English is essential since you'll be communicating with US-based team members and candidates regularly.
Organization & Attention to Detail: You're naturally organized, can manage multiple priorities, and don't let important details slip through the cracks.
Remote Work Setup: You have reliable high-speed internet, a quiet workspace for video calls, and can work independently with minimal supervision.
Schedule Flexibility: You're willing to work flexible hours to overlap with US time zones (some evening/night hours may be required).
This is an independent contractor position with strong potential for extension or permanent conversion based on performance and business needs.
