About the Role
This role owns the end-to-end execution of our Primary Care Provider (PCP) referral process. A PCP referral is a document we fax to a patientβs primary care office to obtain approval for our
services. This person is responsible for ensuring those referrals are created accurately, sent to the right place, and followed up on until weβve received a response.
This is an operational, detail-oriented role that sits at the intersection of patient coordination and provider communication. Itβs well-suited for someone with healthcare office experience who is
comfortable working across systems, communicating by phone, and keeping complex workflows moving.
This role is critical to moving patients into care. Success looks like accurate referrals, persistent follow-up, clean data, and timely responses from PCP offices.
Responsibilities
- Generate PCP referral PDFs using information from our internal systems
- Research and locate the correct PCP office, contact details, and fax number
- Send referrals via fax and confirm receipt with the PCP office by phone
- Maintain a consistent follow-up cadence with offices that have not responded
- Reach out to patients to ask them to notify their PCP to expect the referral
- Track referral status and outcomes in our system with accuracy and consistency
- Flag issues, delays, or systemic blockers in the referral process
- Support broader operational data-entry and cleanup tasks beyond PCP referrals to help keep our systems accurate and up to date
Requirements
- Prior experience in a healthcare office environment (front desk, referrals, insurance, or similar)
- Familiarity with insurance or healthcare workflows
- Comfortable making frequent outbound phone calls to provider offices and patients
- Extremely detail-oriented and organized, with strong follow-through
- Very comfortable using technology and learning new tools and processes quickly
- Able to navigate multiple systems at once (internal tools, spreadsheets, fax tools, EHR portals, etc.)
- Clear, professional communication skills (phone and written)
- Reliable, self-directed, and able to manage work independently over time
