- Maintain clean, accurate candidate data in the ATS; ensure consistent pipeline hygiene and timely follow-ups.
- Partner with hiring managers to align on role requirements
- Support offer process logistics: approvals, documentation, and onboarding handoff.
- Contribute to employer branding (job ad quality, candidate experience, outreach templates, LinkedIn postings).
HR Coordination
- Support onboarding and offboarding administration (checklists, equipment requests, account access coordination, documentation, and day-one readiness).
- Maintain HR records and trackers (headcount, starters/leavers, contract status, probation milestones) with strong attention to confidentiality.
- Help coordinate performance-cycle logistics and HR cadence items (probation reviews, annual reviews, policy acknowledgements).
- Assist with employee changes (title/comp updates, transfers, contract updates) and route approvals to the right stakeholders.
- Prepare basic HR reporting for the portfolio (hiring progress, time-to-fill, pipeline metrics, headcount movement).
Process & Portfolio Support
- Help standardize templates and workflows across portfolio companies while respecting local realities.
- Identify bottlenecks and propose improvements to TA/HR processes.
- Act as a friendly, responsive first point of contact for routine people-process questions, escalating when needed.
Skills & experience
Required
- 1–4 years of experience in recruiting coordination, HR coordination, or a similar people-ops role (internships included).
- Strong organization and follow-through; you enjoy making processes run cleanly.
- Excellent written communication (German / English) and a service mindset.
- Comfort handling confidential information with discretion.
Nice to have
- Experience with an ATS and basic HRIS systems (any tools).
- Exposure to multi-country hiring or working with external payroll providers.
- Interest in HR topics beyond hiring (employee relations basics, performance cycles, org structure).
- Languages: English and German required; French a plus.
